General Nonprofit Software Questions

It has been tested with Office 2016, Office 2019, and also the desktop version of Office 365. You may also run this with the FREE Microsoft Access Runtime (though you would still need Excel to do the advanced reporting).

Yes: if you don't charge for your products/services, then our software is provided free-of-charge. While you must have a Microsoft Office license to run the files, there is no additional cost in obtaining the software from Look 2 Consulting. Documentation is provided on installing and configuring the system(s). The only time you would incur an expense is if you wish to use Look 2 Consulting for engineering services (e.g., doing the installation for you, configuring/customizing your system, on-site or virtual-remote training, etc.). If you do charge for your products/services, or if you're not a 501c3 non-profit, please see our Price List for additional details on cost.

No, a touch-screen isn't required, but the Inventory and Volunteer software has been designed to take advantage of one and so it is strongly recommended that one be used for those programs.

Specs for the Windows PC requirements can be found in each of the software's User Manuals, located in this website's Support section. In general, PC's with a 1920x1080 or 1920x1200 display can be purchased for as little as $450 (including the all-in-one touch screens!).

Please ensure your monitor uses 1920x1080 or 1920x1200 with 100% scaling / font-sizing.

Yes, all 3 software programs make use of configuration information to display your name and logo in various parts of the software.

No. Each of the software packages (Inventory, Volunteer, Registration) has been designed to use three (3) different databases all linked together. One contains the User Interface (GUI), which in turn is linked to the other two main databases: one containing the logged data, and the other containing configuration preferences. This client-server architecture enables deployment in various environments. Details are covered in documentation provided with each software package.



Inventory Software Questions

The software is currently working with a Doran DS100, Rice Lake 420 Plus, Rice Lake IQ PLUS 390, BTEK T103SB, GSE 350, Salter Brecknell SBI-100 and PS2000, Adam Equipment CBC100A and CPWplus, PrimeScales PS-IN202, Optima OP-900. Other models may work if they support the exact same protocol and communication timing of one of these models.

Your scale should have a head unit display which offers RS232 output. Sometimes this port is not visible "outside the box", but rather is a connector on an internal board. You must attach an RS232 communications cable to the scale's port, and then use an RS232-to-USB adaptor to connect it to the PC (the latter is available for about $20) Details are covered in the Inventory User Manual, and there's a Tutorial Video on this site covering this topic as well.

There are currently 99 slots available for IN-Source Icons. However, because you can create Groups, one icon could effectively represent dozens of Sources. For example, you could have a "Farmers" group, and then have a bunch of local farm names to choose from within that category. You thus can have hundreds of sources.

Yes. The images and weights of the carts/containers shown are just examples. These can all be configured to match those used at your location (they are defined via a table within the configuration database, and there is a built-in editor to assist with this simple process).

Yes. The software can easily be configured for the MealConnect food categories in use by your local Food Bank, with detailed receipts then bulk-uploaded to the Feeding America MealConnect website. You can do your required reporting in under 60 seconds!

Yes. There is an option that can be turned on which enables an "Unstack Mode", allowing for a zeroing of the scale with every offload, and it then records subsequent negative weights as the amount to record. See operator manual for details.

Very small: only a few Megabytes. One example: after over 5 years of use with 32,000 IN entries and 45,000 OUT entries, the data file is only 12Mb (about the size of just 1 high-res photo!). That's because it's all text.



Volunteer Software Questions

Up to 20 task-names can be defined for people to log their hours into. Any slots not defined will simply not be shown.

Yes. For example, you can get a report/printout with emails and phone numbers for all the volunteers who help with Food Restocking (if that's one of the categories you defined).

The software flags those who are still signed in. A supervisor can sign them out. Alternatively, when that user attempts to sign in again it will prompt them to resolve their previous entry before signing them in for a new session. Hours can be entered manually, or a default duration for the given task can be assigned.

The software detects there are multiple people with the same 4-digit sign-in and prompts the user to select their name from a list.

Not at this time. This solution is only an on-site sign-in system.

There is no "programmed limit", and since they are stored within a database table, thousands upon thousands are possible. Example: a local large food pantry has been using it over 4 years, having over 1700 volunteers (with over 30,000 entry logs).

Yes. There is not only a built-in report giving you the hours per-volunteer within any selected timeframe (e.g., Year-to-Date, Last Month, etc.), but this information is also available in the Excel reporting tool provided.



Registration Software Questions

Yes. The software was written with a front-end User Interface which in turn connects to a common back-end database. Thus multiple entry stations can be configured so that you can register multiple families in parallel.

Yes. The there are two different ways CSFP boxes can be tracked: via the custom note feature, or by using one of the visit tracking columns. Both methods offer easy-to-use reporting.
